Position Overview We are seeking a proactive, detail-oriented Legal Assistant to oversee the management of co-counsel referrals and lead client outreach initiatives. This role is pivotal in ensuring smooth coordination between our firm, partnering law firms, and clients, while maintaining exceptional communication and organizational standards. The ideal candidate will thrive in a fast-paced legal environment, demonstrate professionalism in all interactions, and take ownership of keeping referral and client processes running seamlessly. Key Responsibilities Co-Counsel Referral Management • Serve as the primary point of contact for co-counsel firms regarding case referrals, updates, and documentation. • Track all incoming and outgoing referrals using firm systems (Litify). • Ensure referral agreements, engagement letters, and fee arrangements are properly documented and executed. • Monitor case progress with co-counsel partners to ensure timely communication and task completion. • Maintain and update referral databases, ensuring accuracy and compliance with firm policies. Client Outreach & Relationship Management • Conduct regular outreach to clients regarding case updates, satisfaction follow-ups, and documentation needs. • Support paralegals and attorneys with scheduling client meetings, calls, and check-ins. • Maintain a high level of client service, ensuring each interaction reflects the firm’s commitment to care and professionalism. • Assist in the preparation of client communication templates and outreach campaigns. • Collect and summarize client feedback to improve communication and service processes. Requirements Qualifications • Education: Bachelor’s degree or paralegal certification preferred. • Experience: 2+ years of experience in a law firm, legal operations, or client relations role. • Strong communication skills (written and verbal) with a professional and empathetic tone. • Exceptional organizational and multitasking abilities with attention to detail. • Proficiency with legal case management or CRM systems (Litify, Clio, or similar). • Ability to work independently, meet deadlines, and maintain confidentiality. Preferred Skills • Experience coordinating with co-counsel or external legal partners. • Familiarity with litigation or personal injury case processes. • Comfortable analyzing and reporting referral metrics or client satisfaction data. • Strong customer service orientation and problem-solving mindset.
